Subscription Management
This guide explains how to manage your CloudOut subscription, including how to upgrade, downgrade, or modify your plan, update billing information, and manage add-ons.
Accessing Subscription Settings
To manage your subscription:
- Log in to your CloudOut dashboard with administrator credentials
- Click on your profile icon in the top right corner
- Select "Billing" from the dropdown menu
- Navigate to the "Subscription" tab
Understanding Your Current Plan
The Subscription page displays:
- Current Plan: Your active subscription tier
- Billing Cycle: Monthly or annual billing period
- Next Billing Date: When your next payment will be processed
- Plan Limits: Usage limits for your current plan
- Add-ons: Any additional features or capacity you've purchased
Upgrading Your Subscription
To upgrade to a higher-tier plan:
- Go to the "Subscription" tab in Billing
- Click the "Change Plan" button
- Select a higher-tier plan from the available options
- Review the new pricing and features
- Click "Upgrade Plan" to confirm
- Your plan will be upgraded immediately, and you'll be charged a prorated amount for the remainder of your billing cycle
Downgrading Your Subscription
To downgrade to a lower-tier plan:
- Go to the "Subscription" tab in Billing
- Click the "Change Plan" button
- Select a lower-tier plan from the available options
- Review the new pricing and features
- Click "Downgrade Plan" to confirm
- Your plan will be downgraded at the end of your current billing cycle
Note: When downgrading, ensure that your usage falls within the limits of the new plan to avoid service disruptions.
Changing Billing Frequency
To switch between monthly and annual billing:
- Go to the "Subscription" tab in Billing
- Click the "Billing Frequency" button
- Select either "Monthly" or "Annual" billing
- Review the pricing changes (annual billing typically includes a discount)
- Click "Confirm Change" to update your billing frequency
Note: Changing from monthly to annual billing will trigger an immediate charge for the annual amount. Changing from annual to monthly will take effect at the end of your current annual period.
Managing Add-ons
Add-ons allow you to extend your plan's capabilities without upgrading to the next tier:
- Go to the "Subscription" tab in Billing
- Scroll to the "Add-ons" section
- Click "Manage Add-ons"
- Select the add-ons you want to add or remove
- Review the pricing changes
- Click "Update Add-ons" to confirm
Available add-ons may include:
- Additional agent seats
- Increased call minutes
- Advanced analytics
- Extended call recording storage
- Premium support
Updating Billing Information
To update your payment method or billing details:
- Go to the "Payment Methods" tab in Billing
- To add a new payment method:
- Click "Add Payment Method"
- Enter your card or bank account details
- Click "Save"
- To set a default payment method:
- Find the payment method you want to use
- Click "Set as Default"
- To update billing address:
- Click on the "Billing Address" tab
- Edit your address information
- Click "Save Changes"
Viewing Billing History
To view past invoices and payment history:
- Go to the "Invoice History" tab in Billing
- View a list of all past invoices
- Click on any invoice to view details
- Use the "Download PDF" button to save or print an invoice
- Filter invoices by date range or status if needed
Canceling Your Subscription
To cancel your CloudOut subscription:
- Go to the "Subscription" tab in Billing
- Click the "Cancel Subscription" button at the bottom of the page
- Select a reason for cancellation from the dropdown menu
- Provide any additional feedback (optional)
- Click "Confirm Cancellation"
Important Notes:
- Your subscription will remain active until the end of your current billing period
- You will not receive a refund for the unused portion of your current billing period
- All your data will be retained for 30 days after cancellation
- After 30 days, your data may be permanently deleted
- You can reactivate your account within the 30-day period by logging in and updating your payment information
Managing Email Notifications
To control which billing notifications you receive:
- Go to the "Notification Preferences" tab in Billing
- Toggle on/off the following notification types:
- Payment receipts
- Upcoming payment reminders
- Failed payment alerts
- Subscription change confirmations
- Usage limit warnings
- Click "Save Preferences" to update
Frequently Asked Questions
Will I lose data when downgrading?
No, your data will be preserved when downgrading. However, if your usage exceeds the limits of your new plan, you may not be able to add new users or make new calls until you reduce usage or upgrade again.
Can I change plans in the middle of a billing cycle?
Yes, you can upgrade at any time during your billing cycle. The cost will be prorated based on the time remaining. Downgrades, however, take effect at the end of your current billing cycle.
How do I get a copy of my tax exemption certificate?
To add or update a tax exemption certificate, go to the "Tax Information" tab in Billing and follow the instructions to upload your certificate.
What happens if my payment fails?
If a payment fails, we'll attempt to charge your card again over the next few days and notify you by email. If we're unable to process your payment after multiple attempts, your account may be temporarily suspended until the payment issue is resolved.
