Payment Methods

This guide explains the payment methods accepted by CloudOut and provides instructions for managing your payment information.

Accepted Payment Methods

CloudOut accepts the following payment methods:

  • Credit and Debit Cards:
    • Visa
    • Mastercard
    • American Express
    • Discover
  • Bank Transfers: Available for annual plans and enterprise customers
  • ACH Direct Debit: Available for US-based customers
  • PayPal: Available in select regions

Adding a Payment Method

To add a new payment method to your account:

  1. Log in to your CloudOut dashboard with administrator credentials
  2. Click on your profile icon in the top right corner
  3. Select "Billing" from the dropdown menu
  4. Navigate to the "Payment Methods" tab
  5. Click the "Add Payment Method" button
  6. Select the payment method type you want to add
  7. Follow the instructions to enter your payment details:
    • For credit/debit cards: Enter the card number, expiration date, CVV, and billing address
    • For ACH: Enter your bank account and routing numbers
    • For PayPal: You'll be redirected to PayPal to complete the connection
  8. Click "Save Payment Method" to add it to your account

Setting a Default Payment Method

If you have multiple payment methods, you can designate one as the default:

  1. Go to the "Payment Methods" tab in Billing
  2. Find the payment method you want to set as default
  3. Click the "Set as Default" button next to it
  4. Confirm your choice when prompted

The default payment method will be used for all automatic recurring charges unless specified otherwise.

Updating an Existing Payment Method

To update the details of an existing payment method:

  1. Go to the "Payment Methods" tab in Billing
  2. Find the payment method you want to update
  3. Click the "Edit" button next to it
  4. Update the necessary information:
    • For credit/debit cards: You can update the expiration date, billing address, and card nickname
    • For security reasons, you cannot edit the full card number. To update the card number, you'll need to add a new payment method
  5. Click "Save Changes" to update the payment method

Removing a Payment Method

To remove a payment method from your account:

  1. Go to the "Payment Methods" tab in Billing
  2. Find the payment method you want to remove
  3. Click the "Remove" button next to it
  4. Confirm your choice when prompted

Note: You cannot remove your default payment method if you have an active subscription. You must either set another payment method as default first or cancel your subscription.

Payment Security

CloudOut takes payment security seriously:

  • All payment information is encrypted using industry-standard SSL/TLS encryption
  • CloudOut is PCI DSS compliant, ensuring that your payment data is handled according to strict security standards
  • Credit card details are not stored on CloudOut servers; they are securely tokenized by our payment processor
  • All payment pages are secured with extended validation certificates
  • Regular security audits and penetration testing ensure the ongoing security of our payment systems

Billing Address Management

Your billing address is used for payment verification and tax purposes:

  1. Go to the "Billing Address" tab in Billing
  2. View or update your current billing address
  3. Ensure the address matches the one associated with your payment method to avoid payment failures
  4. Click "Save Changes" if you make any updates

Payment Receipts and Invoices

After each successful payment:

  • A receipt is automatically emailed to the billing contact on your account
  • The invoice is available in the "Invoice History" tab in Billing
  • You can download PDF copies of invoices for your records
  • For specific invoice requirements (such as adding a PO number), contact our billing department

Troubleshooting Payment Issues

Bank Transfer Issues

  • Verify account and routing numbers
  • Include invoice number in transfer
  • Contact billing department

What to Do If Your Payment Fails

  1. Check the error message for specific information about why the payment failed
  2. Verify that your payment details are correct and up to date
  3. Ensure your card has sufficient funds and is not expired
  4. Contact your bank to see if they're blocking the transaction
  5. Try a different payment method if available
  6. Contact our billing department for assistance if the issue persists

Enterprise Billing Options

For enterprise customers, CloudOut offers additional payment options:

  • Invoice Billing: Receive invoices with net-30 payment terms
  • Purchase Orders: Submit POs for approval before billing
  • Custom Billing Cycles: Align billing with your fiscal periods
  • Consolidated Billing: Single invoice for multiple accounts

International Payments

CloudOut supports payments in multiple currencies:

  • USD (United States Dollar)
  • EUR (Euro)
  • GBP (British Pound)
  • CAD (Canadian Dollar)
  • AUD (Australian Dollar)
  • INR (Indian Rupee)

Your billing currency is determined by your account location and cannot be changed after account creation. International payments may incur currency conversion fees from your bank or card issuer.
